Club Terms & Code of Conduct
These terms apply to everyone who registers for or takes part in the Summer Chess Club.
1. Membership & Registration
By registering for the Vector Space Summer Chess Club ("the Club," "we," "our," or "us") you agree to these terms. Registration is confirmed once payment for the chosen pass is received. A membership covers the named player only and is not transferable to another person.
Players under 18 must be registered by a parent or guardian, who agrees to these terms on the player's behalf.
2. Passes & Payment
Passes (drop-in, monthly, all-summer, and family memberships) are described on our registration page. The price charged is the price shown at checkout. Payments are processed securely by Clover; we do not store your card details. Each pass grants access during published club hours for its stated period — passes do not roll over and have no cash value.
3. Code of Conduct
The Club is a welcoming space for players of every level and age. All members, parents, and guests are expected to:
- Treat fellow players, volunteers, and staff with courtesy and respect.
- Play fairly — no cheating, no outside assistance or engine use during rated games, and honour the result of each game.
- Win and lose graciously; offer a handshake and keep table talk friendly.
- Keep noise and disruption to a minimum so games in progress aren't disturbed.
- Look after the boards, clocks, and the room, and help tidy up at the end of the day.
- Refrain from harassment, discrimination, threatening behaviour, or language that makes others unwelcome.
Harassment or discrimination of any kind — based on age, race, gender, religion, ability, or any other characteristic — will not be tolerated.
4. Players Under 18
The Club is a drop-in environment, not a supervised camp or daycare. While our volunteers help run games and events, parents and guardians remain responsible for their children. For younger players we ask that a parent or guardian stays on site or remains reachable and arranges drop-off and pick-up within club hours.
5. Health, Safety & Liability
Members and guests take part in club activities at their own risk. Please tell us about any medical condition or allergy we should be aware of in an emergency. To the fullest extent permitted by law, Vector Space and its volunteers are not liable for injury, loss, or damage arising from participation in the Club, except where caused by our negligence.
6. Personal Property
Please keep an eye on your belongings. We can't be responsible for personal items that are lost, damaged, or left behind at the space.
7. Photography & Media
We occasionally take photos at club days and events to share what the Club is about. If you'd prefer that you or your child not appear in our photos, just let us know at chess@kwvector.space and we'll make sure of it.
8. Suspension & Removal
We may ask anyone whose conduct is unsafe, dishonest, or disrespectful to leave, and may suspend or cancel a membership for serious or repeated breaches of this code. Memberships ended for a conduct breach are not eligible for a refund.
9. Schedule Changes
Club days, hours, and special events are published on our site and may change. If we have to cancel a club day or event, we'll do our best to give notice and, where appropriate, offer a make-up day or refund as set out in our Refund Policy.
10. Privacy
We collect only the information needed to register you and run the Club, and we don't sell it. If you opt in to club news, you can unsubscribe at any time using the link in our emails.
11. Changes to These Terms
We may update these terms from time to time. The version in effect when you register applies to that membership; the current version always lives on this page.
